1) Confirm physical connection
- Verify Ethernet cable is firmly connected at printer and switch
- If Wi-Fi printer, confirm Wi-Fi indicator is connected
- Replace cable if loose or damaged
2) Check printer IP address
- Print printer network/config page
- Note current IP address
- Compare with IP configured in Windows printer port
3) Verify Windows printer port
- Open Devices and Printers
- Right-click printer → Printer Properties → Ports
- Confirm correct IP address and Standard TCP/IP port
- Correct port if IP has changed
4) Clear offline state
- Right-click printer → See what’s printing
- Printer menu → uncheck “Use Printer Offline”
- Cancel any stuck jobs
5) Restart print services (if needed)
- Restart Windows Print Spooler service
- Power-cycle printer after spooler restart
6) Test print
- Print a test page from Printer Properties
- Confirm job prints successfully
7) Escalation check
- If still offline:
- Try different network port on switch
- Verify printer is reachable via ping
- Escalate to network or server support
