P-000008-01 Restore printer that shows “Offline” but is powered on

Used for Trouble: T-000008

1) Confirm physical connection

  • Verify Ethernet cable is firmly connected at printer and switch
  • If Wi-Fi printer, confirm Wi-Fi indicator is connected
  • Replace cable if loose or damaged

2) Check printer IP address

  • Print printer network/config page
  • Note current IP address
  • Compare with IP configured in Windows printer port

3) Verify Windows printer port

  • Open Devices and Printers
  • Right-click printer → Printer Properties → Ports
  • Confirm correct IP address and Standard TCP/IP port
  • Correct port if IP has changed

4) Clear offline state

  • Right-click printer → See what’s printing
  • Printer menu → uncheck “Use Printer Offline”
  • Cancel any stuck jobs

5) Restart print services (if needed)

  • Restart Windows Print Spooler service
  • Power-cycle printer after spooler restart

6) Test print

  • Print a test page from Printer Properties
  • Confirm job prints successfully

7) Escalation check

  • If still offline:
  • Try different network port on switch
  • Verify printer is reachable via ping
  • Escalate to network or server support
